Basic settings

How to fill in and manage the basic settings for your company

Click the Company settings link in the main menu of the Bezala web version and then select the Basic settings tab. In this view, you can edit your company's information & settings.

Company

  • Company name (mandatory)

  • Company language

    • Language that will be assigned to new users

  • Business ID (mandatory)

Company ID for external services

  • External company ID that is required for certain integrations

Contact details

  • You bookkeepers email

    • Bookkeepers will receive links to accounting and payment files when the accounting batches are sent

  • Contact person for invoicing

  • Support person

    • If there are any errors when sending the accounting batches the error message are sent to this/these emails.

Authentication settings

  • Enforce SSO authentication

    • If this setting is turned on, users cannot log in to your Bezala environment with a username and password combination.

Forms

  • Select which forms will be visible to users and configure their settings:

    • Vendors: should suppliers and receipt IDs be displayed on the receipt form (if you have any questions about this feature, please contact support at [email protected])

    • how often reminders are sent to users for missing credit card receipts (requires an active credit card integration)

    • should your organization’s VAT field be displayed on the receipt forms in Bezala

    • option to add custom VAT percentages for your company

    • should your organization in Bezala display VAT code dropdown menus for users with the Accountant role

    • should the mileage and per diem forms be visible in your organization's Bezala

      • you can also define the accounts for mileages and daily allowances (accounts can be added on the Chart of Accounts tab)

      • users with the beta role can also change the reimbursement categories on this page, which affects how much mileage reimbursements and daily allowances are paid

    • should the reward form be visible in your organization's Bezala

      • reward reimbursement code

      • how should the reward form be renamed in the New Expense menu

Approval

  • We recommend that you set up an approval process for your expenses. The approvers will be reminded daily if they have expenses to approve, and the approval can be done in the mobile or web app. You can add approvers behind users and cost centers. In addition to that you can add company level approvers that either approve before or after all other approvers. Accounting & Payment

  • reimbursement settings: company IBAN account number (from which reimbursements are paid) and the accounting account for reimbursements

  • payslips: PDF summary of expenses to be reimbursed to the user

  • Income Register settings: activate the integration & company-wide SSN requirement for all users & the ability to report as a non-profit organization

  • set accounting schedule

  • voucher settings

  • period lock settings

  • accounting integration status & ability to update integration credentials

Other features

On this tab, you can edit company-specific instructions that are displayed to users in Bezala. The instructions can be formatted using HTML.
