1. Introduction
The Action Log is visible from 13th of July 2026 forward, so no logs can be seen before that date (13/07/2026). The Action Log shows actions taken in the web and the mobile app version, but not all possible actions are visible in the Action Log, read more down below (2.2).
To see your Bezala environment's Action Logs, you need a manager role. If you only have employee or accountant role, but no manager role, you will not be able to see the Action Log.
2. Action Log
2.1. Here's how you navigate to it:
Login to the web version and click the main menu.
Click "Accounting Reports" ==> "Action Log"-tab
2.2. Filters you can use in the Action Log
a) Date range: if you know when the action was taken, you can filter the Action Log based on the date. Remember that nothing before 13/07/2026 is visible in the Action Log.
b) Entity type: Actions taken regarding the following entities is recorded into the action.
Receipt
Per diem/daily allowance
Mileage
Reward
User
Note! This means that e.g. updating company settings or sending expenses to accounting through the "Send to accounting"-button in the main menu is not recorded in the Action Log.
c) Action: Only these types of actions are recorded to the Action Logs about the entity types listed in section b.
Create:
The create action can be shown in logs for a user creating their own expense. This means that an expense created for another person is not shown in the logs (e.g. secretaries creating expenses for another person).
Can only be shown for expenses (i.e. b1-b4 above), not for creating a user (b5).
Update: There is usually more information on what has been updated in the details column if you click "Expand".
For expense updates (b1-b4): it needs to be done by the expense owner. Updates done by an approver or an accountant is not shown in the logs.
For user updates (b5): Not all updates done on the user edit page is visible in logs, but most updates related to contact details, reimbursement settings and expense related issues will be shown in logs. Updating the user's Time & Attendance settings are not shown in logs.
Destroy: when an expense is deleted and by whom. No further details available in the log, except entity type.
Can only be shown for expenses (see above b1-b4), which means deleting users are not an action shown in the logs.
The destroy action does not have to be done by expense owner to be visible in the logs (i.e. an accountant deleting a user's expense will be shown in the logs).
Approve: Shows when an approver approved an expense.
In the details section you can find if approve action sent the expense to the queue or if it still needs someone else's approval.
Disapprove: Shows when an approver rejected an expense.
In the details section by clicking "Expand" you can see the approver's reject comment.
Note! Sending an expense to accounting is not an action recorded in Action Logs.
d) Performed by: The user who has done the action. Note that the logs currently do not log actions done by a secretary for another person. The Action Log only logs actions done by the expected person (see above c1-c5 for each action).
e) ID: This is a useful function. You can filter the "Action Log" section by clicking the green link in the "Filter by" column. By doing this you filter the Action Log to that specific expense/user and see all entries done in the Action Log related to that expense/user. Here's how you do this in the best way if your Action Log is really long:
Click on main menu ==> Archive.
Filter the archive and search for the right expense you are looking for.
Note that you might need to scroll the page to the right, so you can see the ID column.
Copy the ID for the correct expense row. Remember the date of the expense.
Go back to Action Log: Main menu ==> Accounting Reports ==> Action Log-tab.
Limit the date range of Action Log according to the expense's date.
Click Ctrl + F and put in the ID by clicking Ctrl + V in the search window that popped up, when you clicked Ctrl + F.
Click on the green link in "Filter by" column highlighted by your Ctrl + F search.
X. FAQ
Why can't I see the Action Log-tab?
You probably do not have the manager role in that Bezala environment.
Why isn't the action visible in the Action Log?
Our Action Log is not an exhaustive list. Many actions are NOT recorded in the Action Logs. For example:
Creating/updating/deleting/deactivating:
Accounts
Cost centers
Integrations
Company settings
Automation settings
Card bill settings
Work time entries, project time entries and absences
The action was done by an unexpected user:
An expense was not created/updated by the expense owner (e.g. secretary, accountant, approver).
The action happened before 13/07/2026
Read section 2.2. of this article to see which actions are logged in the Action Log.
Is an action done in the mobile app also shown in the Action Log?
Yes, as long as it is one of the actions supported by the Action Log (see 2.2. in this article). E.g. creating/updating an expense needs to be done by expense owner, not by approver to be logged into Action Log.
