Vacation settings: Stand-in approver

Here's how you can set a substitute for yourself in approval workflows, for example during your vacation.

You can set a substitute approver for yourself during your absence using the vacation settings available in Bezala's browser version.

How to set stand-in approver

  1. Log in to Bezala's browser version.

  2. Navigate to your profile through the main menu.

  3. Check the box "On vacation now?" and select a user from the stand-in user dropdown menu who will substitute for you during your absence.

  4. Save the changes you made.

You can also schedule a stand-in approver by selecting the start and end dates of the vacation. This will toggle the "On vacation now" status during the vacation period.

If you only have Employee / Public (approver) role you can only see users with Public role on stand-in user dropdown. Ask your main users add Public role for everyone who approves expenses in Bezala.

To set up the 'Public Approver' role, follow this path:

Settings > Company > Approval Tab

Then, check the setting: "Employees with user roles can change approval cycles"

and save the changes. Afterward, you can assign the 'Public Approver' role to those users who need it.

Effect on approval cycles

Stand-in approvers are added to the next types of expense approvers:

  • Transaction-specific approvers

  • Cost Center-specific approvers

  • User approvers

  • Company approvers

Stand-in approvers can not be added to:

  • Money checkers

  • Fallback approver

Stand-in approvers also have no effect on selecting an approver for a budget.
