When and what kind of automatic notifications/emails are sent by Bezala.

Enable email reminders in your web profile settings

Bezala sends various email notifications to users if there are actions are required in Bezala.

Note! To receive reminders, the user has to allow the email reminders to be sent to them in their profile settings:

  1. Login to Bezala's web version.

  2. Profile icon ==> Personal settings

  3. Click check box: "Allow for email reminders to be sent to you".

  4. Click "Save" in the lower-right hand corner.

Timetable for notifications and reminders

Bezala sends these notifications/reminder email types at the following times:

  • Approval reminder emails: Daily email summarizing all items requiring your approval (expenses, budgets, absences) across all companies

    • Daily at 5 pm

  • Budgets waiting for your approval

    • Daily at 5.45 pm

  • Drafts waiting to be filled/deleted

    • Weekly on Mondays at 5.30 pm

  • Missing Social Security Number (in Finland and Sweden)

    • Weekly on Wednesdays at 5.15 pm

  • Missing receipt reminders: Weekly/daily reminders about credit card transactions without receipts (configured by company)

    • Weekly on Thursdays at 5.45 pm

      OR

    • Daily at 5.45 pm

  • Push notifications from mobile app: when a new expense is created from a receipt or card transaction.

  • Inactive users list

    • Twice a year (April 1 & October 1 at 5.30 am)

All the mentioned times are GMT+3.

Approval Reminder Emails

Approvers receive one consolidated daily email listing all pending approvals. The email shows the count of expenses, budgets, and absences requiring approval, grouped by company. Example subject line: "Approval required: 3 expenses, 2 budgets, 1 absence in Company Name". The email includes direct links to review expenses, budgets, and absences. Approval reminder emails are not sent when the approver is on vacation.

Missing Receipt Reminders

Employees with credit cards receive reminders about transactions missing receipts. There are two types:

1. Automatic reminders (Company Settings)

  • Frequency configured in Company Settings ==> Basic Settings-tab ==> Expense forms-tab under "Email reminders": Weekly or Daily

  • Sent automatically to employees with credit cards

  • Not sent while user is on vacation

2. Manual reminders (Card Bills page)

  • Accountants can send reminders from the Card Bills page (Click "Card Bills" in main menu).

  • Select bills β†’ Click "Send email reminders" β†’ Add optional comment β†’ Send

  • Email lists specific transactions (date, amount, description) needing receipts

  • Requires: Payment Method selected, at least one bill selected

The email instructs users to either add new receipts or connect existing receipts to the credit card transactions from the Card Bills page.

Push Notifications

Mobile push notifications are sent only when a new card transaction arrives. Status changes (like approval or rejection) do not trigger push notifications. Ensure push notifications are enabled in your device settings for the Bezala app.

Vacation Pause

All recurring reminder emails are paused while you have an active vacation set in Bezala. This includes approval reminders, draft reminders, missing receipt reminders, and missing SSN reminders.

Notification Settings

Missing receipt reminder frequency (weekly/daily) can be configured by managers in Company Settings ==> Basic Settings-tab ==> Expense forms-tab under "Email reminders". Other notification behaviors are automatic. Users cannot opt out of approval notifications individually, but they can do that for other email reminders in their profile settings, see above.
