Vacation settings: Stand-in approver

A stand-in approver handles your expense approvals, when you're on vacation/absent. The stand-in takes your place in approval cycles, ensuring expenses continue to be processed.

You can set a substitute approver for yourself during your absence using the vacation settings available in Bezala's browser version.

Set up stand-in approver for your vacation:

  1. Login to Bezala’s web version.

  2. Go to your profile: Click the “Profile icon” in the upper-right hand corner ==> “Personal Settings”

  3. Select the correct name of your stand-in user in the drop-down list.

  4. Time settings for stand-in user:

    1. Proactively set vacation start and end dates for automatic toggling OR

    2. Click check box “On vacation now?” and set start and end dates for vacation.

  5. Click “Save”.

Date settings:

  • Start date only: Vacation stays on until manually unchecked

  • End date only: Needs manual enabling, turns off automatically

  • Both dates: Automatic on/off (checked at night during low usage)

Important rules:

  • Stand-in only substitutes for YOUR position in cycle, not entire cycle

  • If stand-in is also on vacation, your vacation won't activate automatically

  • Vacation status applies across all your Bezala-environments.

  • Employees can only select users with Public Approver role as stand-in.

    • Managers: Enable setting by going to: Company Settings ==> Basic settings-tab ==> Approval-ta ==> Approval cycle box ==> Check box “Show change cycle link to employees”.

  • Stand-in approvers can't be added for people with Money-checker and/or Fallback approver role.

  • Stand-in approvers also have no effect on selecting an approver for a budget.
