Reward feature in Bezala

The Reward feature in Bezala allows companies to pay honorariums, board member fees, and other non-salary compensation to individuals. Rewards can be reported to the Finnish Incomes Register (Tulorekisteri) or Swedish Skatteverket.

1. Introduction

With a manager role you can activate the reward form and create the reward types you need in your Bezala environment in by logging into the web version and following the guide down below.

1.a. Activate the Reward form:

  1. Login to webversion and click "Company settings" in main menu.

  2. Click "Basic settings" ==> "Expense forms"

  3. In the "Rewards"-section click the check box "Show Reward form". In this section you can also define:

    1. Reward reimbursement code - the account code that will be registered in bookkeeping

    2. Income tax account code - if you want to account the tax part of the reward to another account.

    3. Reward alias - you can change the button name for Reward when clicking "New expense".

Once you have activated the compensation form, proceed to create the necessary compensation Reward types.

1.b. Reward types-tab

Once you have activated the Reward form, the Reward types-tab will become visible. Here you can:

  • Create new reward types (see down below 2)

  • Edit reward type (click edit pen, see also down below 2.3-2.4)

  • Delete reward type (trash icon)

  • Deactivate reward tyoe (click grey button "Deactivate"

  • Filter Reward types:

    • Name or code: free text for name, code refers to account of reward type.

    • Show all, Active, or Deactivated reward types

    • Fixed price filter: Yes or No

2. How to create a new reward type in Bezala

To create a new reward type:

  1. Go to the "Company settings"-page -> choose the "Reward Types"-tab. This view shows all the reward types in use.

  2. Click the "+ Add a reward type"-button.

  3. Fill in the information for the reward type:

    1. Name: Display name for the reward type

    2. Account code*: Accounting code for bookkeeping, needs to actually match an account in your bookkeeping software and Bezala.

    3. Cost: Default cost amount (optional if not fixed price, see e below).

    4. Income type (IR code): Code for Incomes Register reporting, choose one from the drop-down list. In Finland, these are IR codes (see 2.a down below). In Sweden, these are Skatteverket income type codes (see 2.b. donw below).

    5. Fixed price: Yes/No - If Yes, the reward always uses the same amount added to cost field (see c above).

    6. Deduction Income tax check box: If box is checked the reward will be income taxed according to users tax card, if unchecked it will not deduct income tax (see 3 down below).

      1. Default tax is in Finland 60% and in Sweden 30%. The users can add their own tax card in the profile. Read more here.

    7. Resources: if you leave field empty, the reward type is visible to all users. If you add names, the reward type will only be visible to the users you have added to the list.

  4. Remeber to lastly click "Save".

*If you want to add a note for the reward type, you can add it to the account you chose for the reward type:

  1. Click main menu ==> Accounts

  2. Search for the account number you added to the reward type. (See above 3b).

  3. Click the edit pen on the account row.

  4. Add the note to the "Short Description"-field in the "Conditional Fields"-section.

  5. Remember to click "Save".

2.a. Finnish Incomes Register (Tulorekisteri) uses IR codes

For Finnish companies, rewards are reported to the Incomes Register using IR codes:

  • Elected official fee (403)

  • Taxable reimbursement of expenses (353)

  • Rewards from an athlete's fund (351)

  • Work reward (336)

  • Other taxable income deemed earned income (316)

  • Compensation for use, earned income (313)

  • Board membership (308)

  • Meal allowance (303)

  • Profit-sharing bonus (233)

  • Voluntary compensation in conjunction with termination of employment (231)

  • Waiting time compensation (217)

  • Compensation for acting in a position of trust (215)

  • Lecture fee (214)

  • Meeting fee (210)

  • Notice period compensation (208)

  • Time rate pay (201)

You can also choose the generic "Do not report to Income Register" to avoid reporting the reward type to the income register. We recommend that you check with an accountant to make sure that you do not have to report the reward type to the income register.

2.b. Swedish Skatteverket Reward Types

For Swedish companies using the Skatteverket integration, the following income type codes are supported:

  • 011 - Kontant bruttolön med mera (Cash compensation for work - default for rewards)

  • 012 - Övriga skattepliktiga förmåner (Other taxable benefits - also used for taxable meal compensation)

  • 125 - Kontant ersättning (underlag för egenavgifter) (Cash compensation for self-employment contributions)

  • 131 - Kontant ersättning (Cash compensation)

  • 132 - Övriga skattepliktiga förmåner (Other taxable benefits)

  • 137 - Bostadsförmån, småhus (Housing benefit, detached house)

  • 138 - Bostadsförmån, ej småhus (Housing benefit, not detached house)

  • 032 - Ersättningar som inte ger rätt till skattereduktion för arbetsinkomst (Compensation not eligible for job tax deduction)

  • 039 - Hyresersättning (Rent compensation)

  • 051 - Skattefria traktamenten (tax free allowance)

3. Withholding tax

Bezala automatically reports the amount of withholding tax to the Incomes Register. The payment of the withholding tax debt must be handled separately using the accounting/payroll software used by your company.

4. Political party tax deduction

In Bezala, it is also possible to process the deduction of political tax from rewards. This functionality is available only to Finnish users. You can activate the functionality as follows:

  1. Go to Company settings -> Basic Settings-tab -> Expense Forms-tab -> Rewards-section -> open "Additional Deductions"-section.

  2. Check the box for "Deduct Political Party Tax" and fill in the account code. The deduction will be booked to this account.

  3. Go to the Reward Types-tab and check the box for "Political party tax" for the reward type.

The user also needs to select their political party from their profile, based on which the deduction amount will be calculated. Manager level user can also update this information on behalf of the user from the Users edit page.

x. Q & A

Why can't I see the IR code/Income type?

This if for one of 2 reasons:

  1. We can only report these in Finland and Sweden, if your company's country is not based in either of these countries we can't report it to your countries tax authority.

  2. We have not added it to our list. Contact our support at [email protected] to add it to the drop-down list. Make sure that the code is actually used by Income register (Finland) or Skatteverket (Sweden).

    1. We need the know which country your company is based in (Finland/Sweden)

    2. The name of the code and the code number.

Why did I get taxed so much for the reward?

The tax is calculated by the tax card. You can lower your reward tax by adding your tax card to your profile by clicking "Upload tax card".
